Back Office Product Specialist – NPD

About the role

Vilgain is looking for a Back Office Product Specialist to own and shape the operational side of its New Product Development (NPD) process. You will support the product development team from supplier communication to sample coordination, documentation and launch preparation.

Key responsibilities

• Track open tasks, deadlines and follow‑ups across multiple NPD projects.
• Order, monitor and coordinate product samples from suppliers.
• Handle routine supplier communication, including documents, specifications, quotes and logistics.
• Prepare and arrange shipments of samples and development materials.
• Maintain up‑to‑date product documentation, data, specifications, ingredients and certificates in internal systems.
• Organise meetings, tastings and internal follow‑ups, capture action points and ensure completion.

Required profile

• Proactive and able to create structure where no fixed process exists.
• Highly organised, detail‑oriented and capable of managing many small tasks across projects.
• Independent from day one, requiring direction rather than constant supervision.
• Fluent in Czech with functional English for supplier communication and documentation.

Required skills

• Advanced use of spreadsheets.
• Experience with ERP systems.
• Familiarity with PIM (Product Information Management) tools.
• Competence in project management or internal database tools.
