Back Office Product Specialist - NPD

About the role

Vilgain is looking for a Back Office Product Specialist to own the operational side of New Product Development (NPD). You will work closely with the product development team, suppliers and internal stakeholders to keep the NPD pipeline moving smoothly from concept to launch.

Key responsibilities

• Support NPD team members with day‑to‑day operational tasks across multiple projects.
• Track open tasks, deadlines and follow‑ups to prevent bottlenecks.
• Order, monitor and coordinate samples from suppliers.
• Handle routine supplier communication, including documents, specifications, quotes and status updates.
• Prepare and organise shipments, tastings and other product‑related materials.
• Maintain complete, up‑to‑date product documentation and data in internal systems.
• Work with specifications, ingredients, nutritional data, certificates and related materials.
• Schedule meetings, capture action points and ensure their completion.

Required profile

• Proactive and able to create structure where processes are not yet defined.
• Demonstrated experience improving or building operational processes.
• Highly organised, detail‑oriented and capable of managing many small tasks across projects.
• Independent from day one, requiring direction rather than constant supervision.
• Fluent in Czech with functional English for supplier communication.

Required skills

• Advanced use of spreadsheets.
• Experience with ERP systems.
• Familiarity with Product Information Management (PIM) tools.
• Comfort with project management and internal database tools.
